1. Data Controller
The Data Controller for personal data collected in this sweepstake is: Youghal GC. They determine the purposes and means of processing your data and are responsible for how it is used in connection with this sweepstake.
2. Data Processor
SnipeGolf (operated by Baden Maher, Republic of Ireland) processes personal data on behalf of Youghal GC for the purpose of operating this golf sweepstakes platform. SnipeGolf acts solely on the instructions of Youghal GC.
3. What Personal Data We Collect
- First name and last name
- Email address
- Phone number (optional, for WhatsApp/SMS notifications only)
- Golfer picks and tiebreaker entry
- Entry timestamp and submission metadata
We do not collect payment information (handled directly by Youghal GC). We do not use cookies or tracking technologies on this platform.
4. Legal Basis for Processing
Processing is based on your consent (Article 6(1)(a) GDPR), given at the time of submitting your picks entry. You may withdraw consent at any time (see Section 7).
5. How Your Data Is Used
- To identify your sweepstake entry
- To send your unique picks link
- To display your name on the leaderboard (first name + surname initial only, where possible)
- To communicate WD replacements or important sweep updates
- To allow the club admin to manage entries
Your data is not sold to third parties and is not used for marketing purposes.
6. Data Retention
Your personal data is retained for the duration of the 2026 tournament season, plus 30 days thereafter. At that point, all personal data is permanently deleted from SnipeGolf's systems. Youghal GC may retain records separately in line with their own data retention policy.
7. Your Rights (GDPR)
Under GDPR you have the following rights:
- Right of Access — request a copy of your personal data
- Right to Rectification — correct inaccurate data
- Right to Erasure ("right to be forgotten") — request deletion of your entry
- Right to Object — object to processing
- Right to Withdraw Consent — withdraw at any time (this will remove your entry)
To exercise any of these rights, contact your club admin (Youghal GC) who can delete your entry from the admin dashboard. Your data will be immediately removed from all SnipeGolf systems.
8. Data Security
Data is stored in Google Sheets, protected by Google's security infrastructure. Access is restricted to the SnipeGolf Apps Script and the designated club admin. All data transmission is over HTTPS.
9. Third-Party Services
- Google Sheets / Apps Script — data storage and processing platform (Google LLC)
- GitHub Pages — static frontend hosting (GitHub Inc., Microsoft)
- ESPN API — golf score data only (no personal data sent to ESPN)
10. Complaints
If you have concerns about how your data is handled, you may lodge a complaint with the Data Protection Commission of Ireland.
